Assistant Resident Director for Programs

Position Overview

The Assistant Resident Director for Programs (ARD Programs) supervises the development and execution of program activities in collaboration with the ARD Operations. The ARD Programs will directly supervise two Activities Specialists,  who will ensure that all programs, activities, snack breaks, and scheduled trips have all of the necessary supplies and are set up and cleaned up properly. This position manages and supports residential staff in planning and executing floor-based programs.

The ARD Programs lives on campus in program residence halls and is a visible role model and community leader. Although their primary responsibility is ensuring that the residential experience runs smoothly from a programmatic perspective, the ARD Programs is expected to serve on-call, support their peer ARDs with necessary tasks and projects, and make themselves available to participants to answer questions, resolve concerns, and address health, wellness, and discipline issues that arise.
 
The ARD Programs would benefit from having a one week in person onboarding plan in addition to approximately 5-10 hours of virtual asynchronous work. This plan would cover pre-program meetings, trainings, and necessary administrative work to be completed before the arrival of participants in residence.

Position Responsibilities:

  • Planning and verifying logistics for all program-wide and class-specific field trips; ensure that the residential program does not interfere with field trips; create and send out staff memos and schedules in advance of field trips so all staff know their roles and responsibilities during field trips.
  • Serving as the Resident Director of the programs in the RD’s absence or day off; responsible for the safety and supervision of up to 500 minors living in residence across two sessions of the Summer Humanities Institute, one session of the Stanford University Mathematics Camp, one session of Summer @ Stanford High School, and one session of Summer @ Stanford Middle School when the RD is not present.
  • Directly supervising and managing the work of Activities Specialists and holding them accountable to complete assigned duties; when serving as the Resident Director, directly supervising and managing the work of all residential and operations staff and working closely with Stanford Pre-Collegiate Studies (SPCS) and Online High School (OHS) professional staff to improve training, mediate and resolve staff issues.
  • Attending weekend field trips to oversee the planning and implementation of field trips and excursions with participants to ensure their safety and well-being; ensuring activities are safe and accessible to all participants.
  • Maintaining well-organized storage spaces and monitoring inventory levels in both the residences and storage rooms, redistributing materials and requesting new supplies as necessary.
  • Serving in the on-call rotation, responding to calls and text messages promptly at any time during the on-call shift and addressing any incident or concern within fifteen minutes of notification.
  • Ensuring that all programs and activities are accessible, inclusive, equitable, and contribute to participant’s sense of belonging and safety. Lead planning and implementation efforts and actively engage in programs to cultivate a sense of belonging and bring participants together; facilitate staff discussions around equity and inclusion during training and throughout the summer.
  • Leading participants in educational initiatives centered around topics such as individual development, wellness, community engagement, and inclusion; leading and participating in recreational and social activities.
  • Being a good steward of program resources, including ensuring that all supplies are properly stored and returned at the end of the program, and that the residence is consistently clean and well maintained.
  • Developing relationships and leading communication with campus partners, including but not limited to Dining Services, Stanford Transportation/Stanford Charters, Stanford Facilities, the Library, and Stanford Recreation and Wellness, to support programmatic needs such as field trip sack lunch pick up, charter bus confirmations, and library access card pick up.
  • Developing weekly participant email newsletters in conjunction with the Resident Director regarding upcoming programs and announcements for approval by professional staff.
  • Managing the SPCS-Residential and S@S email inbox and reviewing, approving or rejecting all participant check out requests; providing regular communication with parents and families as needed
  • Overseeing residential staffs plan, execute, and reflect on their programs for their floors or hall, providing constructive feedback as needed to ensure planned programs are fiscally responsible and contribute to a participant’s sense of belonging within the community.
  • Providing support to the Operations Team as needed with dietary accommodations, activities, and events set up and tear down.
  • Ensuring that participants and staff adhere to all applicable policies at all times, including the Administrative Guide Memo, program policies, the SPCS Code of Conduct and the Protection of Minors policy.
  • Transporting participants and/or other staff to various locations within and outside of the Stanford University campus via program-rented automobile or golf cart.
  • Attend House meetings, staff meetings, and lunch meetings as scheduled by the Resident Director.
  • Managing administrative tasks, including but not limited to: creating and overseeing participant and supply  check-in and check-out sheets, purchasing, and other event logistics.

To be successful in this position, you will bring:

  • A Bachelor’s degree
  • At least one summer or year of experience in Residence Life at the high school or college level (At least two years preferred, of Resident Assistant experience, or other residential leadership experience).
  • Creative and positive attitude, including an enthusiasm for working with pre-college students.
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive tasks with multiple deadlines and frequent interruptions. Including serving on call and responding to crisis situations throughout the day and night.
  • Ability to supervise others, delegate tasks, build teams, enforce policies, solve problems, make good decisions, and mediate conflict.
  • Excellent organizational, logistical, interpersonal, and written and verbal communication skills.
  • Ability to complete a project with little direct supervision.
  • Experience with, and interest in, administrative responsibilities.
  • The ability to occasionally climb (ladders, scaffolds, or other), twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, use a telephone, write by hand, lift/carry/push/pull objects that weigh up to 20 pounds; and rarely kneel/crawl, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.
  • A valid U.S. driver’s license; and eligibility to drive program rented vans (must be at least 21 years old).

Additionally, you will preferably bring:

  • Summer camp/program experience or experience working with students ages 12-17, preferably with Stanford Online High School, Stanford Pre-Collegiate Studies, or a similar program.

Compensation

The compensation for the Assistant Resident Director for Programs is $2,200.00 per week plus housing and meals, valued at approximately $827.05 per week, free of charge. Weekly pay is taxable income. This is a temporary, full-time, residential position with substantial on-call duties averaging 60 hours per week. This position is exempt and is therefore not subject to the overtime provision of the Fair Labor Standards Act.
