Program Assistant, Residential Programs

Position Overview

The Program Assistant, Residential Programs is responsible for providing administrative support to Stanford Pre-Collegiate Studies (SPCS) and Stanford Online High School (OHS) during the planning and implementation phase of the in-person residential programs. The Program Assistant, Residential Programs will play a key role in supporting the logistical preparations leading up to the start of the programs and will ensure the successful conclusion of summer programs.

The Program Assistant, Residential Programs would benefit from having a one day onboarding plan in addition to approximately 5 hours of asynchronous work. This plan would cover pre-program meetings, trainings and necessary administrative work to be completed.

Position Responsibilities

  • Taking inventory of and assembling swag and program materials for staff and participants in the Summer Humanities Institute, Stanford University Mathematics Camp, Summer @ Stanford High School, and Summer @ Stanford Middle School programs, including but not limited to printing, creating, and organizing documents, flyers, forms, and signage.
  • Responding to emails and inquiries, providing customer service to the participants and their families in the residential programs inbox and prospective or incoming staff in the employee inbox; scheduling meetings between participants, their families, and staff or interviews as needed.
  • Managing form submission compliance (visas, CampDoc, etc.) and sending reminder emails to participants and families on behalf of professional staff.
  • Maintaining well-organized storage space in Academy Hall and supporting the procurement of any supplies pre-program.
  • Supporting staff in analyzing SHI and SUMaC pre-program survey to help prepare for the start of programs.
  • Fostering and promoting an inclusive environment for all participants, staff, and SPCS/Stanford OHS community members.
  • Packing program rented automobiles with materials and supplies at the start of residential programs and driving the materials and supplies from the Stanford Redwood City campus to the Historic Stanford campus.
  • Attending virtual participant and instructor orientation sessions and answering virtual chat questions as needed.

To be successful in this position, you will bring:

  • College-level coursework; completion of approximately 30 degree-seeking credits (any subjects) or more.
  • Creative and positive attitude, including an enthusiasm for working with high school students.
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive tasks with multiple deadlines and frequent interruptions in a fast paced environment.
  • Ability to act responsibly, build teams, solve problems, make and good decisions.
  • Excellent organizational, interpersonal, and written and verbal communication skills.
  • Experience with, and interest in, administrative responsibilities in an office or educational setting.
  • A valid U.S. driver’s license; and eligibility to drive program rented vans (must be at least 21 years old).

Additionally, you will preferably bring:

  • Summer camp/program experience or experience working with students ages 12-17, preferably with Stanford Online High School, Stanford Pre-Collegiate Studies, or a similar program.

Compensation

The compensation for the Program Assistant, Residential Programs is $22.19 per hour. Hourly pay is taxable income. This position is temporary and non-exempt, averaging 10 hours per week. Some night and weekend work is expected. The Program Assistant, Residential Programs will be responsible for securing their own housing off campus for the duration of this position. This position can expect to be hired from mid April 2024 through late-June 2024 and will primarily be working onsite.
