Position Summary

Under general supervision of the Arts and Humanities Division Operations Director, the Program Coordinator acts as first point of contact for students, staff, faculty, and community members, supporting faculty effectiveness and student success by providing information as needed or requested. In addition, this position assists with website and SharePoint maintenance; oversees the equipment and office spaces within the division. The Program Coordinator also participates in meeting and event planning and execution. The Program Coordinator may perform specialized complex word processing tasks or entry functions such as processing documents and records and taking and transcribing meeting minutes. Hours: 8:00 am - 5:00 pm with some flexibility for occasional evenings and weekends. This is an in-person position.

Pay, Benefits & Work Schedule

Position Salary Range: $42,540/year - $56,664/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

About the Department

Arts & Humanities, the largest division at Bellevue College, welcomes students with various educational goals. Most are enrolled in academic transfer courses such as Art, Communication Studies, English, Music, Philosophy, Theatre Arts, and World Languages. Other programs focus on international students (English Language Institute) or adults taking pre-college courses to learn English, earn their GED, complete High School credentials, or transition to college-level courses (Basic and Transitional Studies). The division also includes a Professional Technical program (Interior Design), which serves students seeking an Associate's degree or a Bachelor of Applied Arts. Each program in Arts & Humanities seeks to empower students by cultivating inclusive learning environments that engage diverse traditions; stimulating intellectual and imaginative curiosity; and developing the habits of mind necessary for critical and creative thinking.

Essential Functions

Student Assistance:

• Answer division phones, emails, and assist students who come to the division office.
• Provide program, division and college information including, but not limited to program offerings, course schedules, course offerings, testing policies.
• Utilize problem-solving skills and apply division and college policies and procedures to help students achieve their academic goals.
• Assist with the proctoring of the Comprehensive Adult Student Assessment System (CASAS) test.
• Assist students processes and forms such as: BC application, Program intake form, registration, etc.

Reception Area and Administrative Duties:

• Serve in divisional reception areas to respond to inquiries in person and answer phone calls and email from students, staff, faculty, campus members and the public.
• Create a welcoming environment for the diverse community that reflects Bellevue College while exhibiting a professional and personal demeanor.
• Assist faculty as needed: answer questions, act as a resource, and provide clerical assistance, posting class cancellations/room changes.
• Schedule appointments for navigators, Program Managers, and college advisors, both in person and on the phone.
• Perform complex word processing tasks such as merging and sorting, using and maintaining spreadsheet and database files and software, uploading/downloading.
• Collect and file forms, data, and documents according to College/Division/Program procedure.
• Follow the College policies and procedures to organize meetings/events (scheduling, campus catering, meals with meetings, Advisory Committee policies, etc.).
• Record and distribute meeting minutes and administer reporting for meetings.
• Upload quarterly syllabi request data and provide faculty support related to the process.

Professional development & Purchasing:

• Hold Professional Development trainings for division; update internal and external resources as needed.
• Coordinate Professional Development and Division supply purchasing.
• Reconcile monthly purchases.

Onboarding or welcoming new employees to the division:

• Review and update divisional onboarding materials regularly.
• Meet in person or virtually with new hires for division onboarding.
• Complete onboarding checklists and related tasks (requesting keys, assigning print codes, etc.).
• Assist in preparing office space.

Shared Space Maintenance:

• Provide assistance with and maintain office equipment including workroom copy machine and printers.
• Work with campus operations regarding mail delivery. Coordinate mail delivery, sorting, distribution and maintain division mailboxes.
• Work with campus partners on: archiving documents, moving surplus items, etc.
• Maintain shared spaces; kitchen, workroom, reception area, hallways, etc.

Minimum Qualifications

• High School degree. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
• Minimum two (2) years of full-time clerical/customer service experience to the public.
• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Ability to anticipate office needs, take responsibility for initiating routine tasks, work independently, prioritize projects and initiate schedule for completing tasks.
• Effective written, verbal, interpersonal, and communication skills while remaining calm, tactful in stressful situations
• Effective project management and problem-solving skills to follow through and obtain satisfactory solutions and conclusions in compliance with state, federal, and college guidelines
• Ability to maintain cooperative working relationships and preserve confidentiality.
• Experience with completing work products in a timely manner with minimal oversight
• Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment

Preferred Qualifications

• Associate's degree in relevant field
• Experience working in an office environment
• Experience working in higher education
• Fluency in another language preferably in Chinese, French, Korean, Spanish, Russian or Vietnamese.
