Awaken is a faith based non-profit organization located in Reno, Nevada and Green Bay, Wisconsin. Our mission is to increase awareness and education surrounding the issue of commercial sexual exploitation and to provide housing and restoration for its victims. Job Description  

 

Under the direct supervision of the Executive Director, the Administrative Assistant is responsible for communications, meeting arrangements, tracking and inputting data, participating in special events planning and preparation, and communications to volunteers and staff as directed.  

 

Responsibilities

 

  • Greet individuals and facilitate needs of visitors 
  • Communicate and handle incoming and outgoing communications on behalf of the organization
  • Coordinate communication to incoming applicants
  • Assist with onboarding and offboarding of staff, as needed
  • Respond to inquiries regarding Awaken services
  • Answer incoming calls and routing to appropriate staff
  • Create meeting agendas, take accurate meeting notes and distribute as needed
  • Manage calendars, along with arranging travel reservations and schedules, as needed
  • Assist with print orders of presentation materials
  • Prepare documents and outgoing mail as needed
  • Manage Awaken’s mail which includes weekly mail pick up from the PO Boxes
  • Responsible for on-call scheduling and inputting calls into Apricot
  • Represent organization by hosting informational booths at community events and Director’s speaking engagements
  • Responsible for providing oversight to admin and program petty cash
  • Assist with Awaken vehicle maintenance, building maintenance and office equipment to include managing work order requests and obtaining bids for service projects
  • Responsible for social media management, including but not limited to Instagram, Facebook, etc.
  • Assist with Awaken events as needed
  • With the Volunteer Coordinator, identify gaps where volunteers can serve
  • Manage and keep merchandise inventory up to date 
  • Responsible for ensuring that Awaken online merchandise orders are mailed in a prompt manner
  • Manage and keep office supplies up to date
  • Assist with internet research/projects
  • Manage registration and renewal of Awaken vehicles
  • Serve as a liaison with marketing consultants
  • Responsible for the coordination and facilitation of fire drills and disaster relief protocols
  • Other duties as assigned by the Leadership Team

  • Excellent time management skills
  • Reliable transportation, valid driver’s license, and present driving record with no major violations
  • Demonstrated familiarity with, understanding of, and sensitivity to the issues and experiences of sex-trafficking survivors
  • Ability to work independently and collaboratively with other team members and multiple tasks
  • Friendly, approachable attitude and ability to remain open-minded when encountering diversity in thought, gender, culture, language and behavior
  • Professional experience in gathering and interpreting data
  • Proficient in Apple and Microsoft Office products
  • Strong calendar management and internet research skills
  • Excellent written and verbal communication skills
  • Flexible schedule, including some evening and weekend availability

Qualifications We are seeking a compassionate, organized, and reliable individual with a high level of self-awareness and emotional intelligence. Essential to this role: 

  • AA/AS Degree (Preferred but not required) 
  • At least two years of relevant professional experience
  • A demonstrated ability working with culturally and economically diverse individuals and families and ability to work with those impacted by trauma
  • A demonstrated ability to function effectively in a fast-paced environment and to respond appropriately to unexpected situations
  • Must demonstrate empathy and warmth, as well as excellent communication skills
  • Must have a strong commitment to social justice
  • Ideal candidate will possess knowledge of and sensitivity to human trafficking issues, trauma, gender equity and client-centered service provision
  • Key to success is the ability to be present in a changing work environment; the ability to work independently and the ability to make decisions appropriately, prioritize effectively and model healthy boundaries with empathy and compassion
  • The ideal candidate is a warm, self-starter deeply committed to providing services from a strengths-based, social justice and anti-oppression framework
  • Candidates should be competent in using Microsoft Office (Word, Outlook, Excel, PowerPoint) and have experience in confidential data management and record keeping
  • Also, calls for flexibility, project coordination experience and the ability to work well with all levels of management and staff, as well as outside clients and vendors

Job Conditions

This position encounters a variety of daily work situations. There may be both routine and complex interpersonal interactions to navigate with care and thoughtfulness. Processes may change based on changing needs of the organization, new technology, or new ideas for effective care. Position operates as part of a team, engaging in entirely on-site work that may require time spent sitting, standing, or going up and down stairs. Position works in a trauma-focused environment where behaviors may become escalated and conflicts must be handled with care and competence. The work also includes some computer work, including using a keyboard, looking at a screen, using the internet, email, and video conferencing on occasion.
