Office & Administrative Specialist - Job ID 59053

Job Summary
This position exists to perform administrative support duties for the Environmental Analysis and Outcomes Division, and the Resource Management and Assistance Division and the programs within.

Join our team of administrative professionals by coordinating office functions for environmental programs that work with air and water media. This vital position will be responsible for program mail, correspondence, preparing spreadsheets, responding to internal and external customers and general clerical work such as printing, faxing, copying, and scanning.

Minimum Qualifications:
  • Candidates must clearly demonstrate the following qualifications:
  • Ability to learn databases/workflows and to scan multiple page documents and utilize multi-function devices (scanner/copier/printer).
  • Data entry experience to include accuracy and attention to detail.
  • Customer service skills to respond effectively to customers who have questions about agency operations and procedures (in person, on the phone, and through public presentations).
  • Skilled in using Microsoft Word or equivalent software to create, format, edit, print, and save a variety of documents, including memos and correspondence as well as spreadsheets, tables, charts, and graphs in an efficient manner.
  • Ability to understand and follow written and verbal instructions.
  • Business English skills sufficient to speak, read, write, prepare, and edit materials, using correct and error-free spelling, punctuation, grammar, and typing.

Preferred Qualifications:
  • Experience with MS Word and the ability to learn mail merge functionality.
  • Knowledge and/or experience using MS Teams.
  • Knowledge and or experience with MS Office Suite (Excel, Access, PowerPoint) and Adobe Acrobat Professional software.
  • Strong customer services skills (phone and in-person).
  • Ability to work independently on projects and actively participate as a team member.
  • Ability to manage multiple tasks, set priorities and organize work in order to carry out daily tasks and meet established timelines.
  • Good problem solving to formulate solutions in order to recommend responses or resolve issues.

Physical Requirements
Requires occasionally lifting and/or carrying such articles as file folders, ledgers and small tools.
