Event Coordinator

PRE-EVENT DUTIES
  • Review all events with Event Manager, including class contracts, venue research, and catering options
  • Coordinate services for events, such as drop off and pick up locations of transportation for participants, special needs requirements, catering, facilities, and event staffing
  • Manage inventory, pack, and coordinate all logistics needed for each class/event.
  • Notify the Event Manager of any supplies which are running low and need to be ordered.
  • Send and monitor event information given to clients attending class
  • Respond to client FAQ’s, to support Concierge Manager

EVENT DUTIES
  • Conduct on-site registration as attendees arrive for class
  • Contact late/missing attendees, as applicable
  • Set up/coordinate meals with facility staff, as applicable
  • Attend the event graduation, interacting with guests, current class members, and past graduates, as applicable
  • Gather photos/videos to support Marketing

POST-EVENT DUTIES
  • Unpack and organize logistics, updating inventory
  • Notify the Event Manager of any missing, damaged items that must be replaced.
  • Send graduate certificates and Master Graduate plaques, as applicable

REQUIREMENTS:
  • 1-2 years related experience
  • Must have strong Microsoft Office Skills, Word, Excel, etc.
  • Experience with CRM (HubSpot) and Event Management Software (Swoogo) preferred
  • Must be very detail oriented, punctual, and organized
  • Must have the ability to multi-task and work well under pressure
  • Must have an upbeat personality and be a team player
  • Must exhibit strong verbal and written communication skills
  • Must complete Rapport’s Master Graduate of Leadership within 1 year of employment

PHYSICAL, MENTAL AND ENVIRONMENTAL DEMANDS:
  • Must be able to walk and stand for long periods of time.
  • Must be able to occasionally lift and or move up to 50 pounds.
  • Must have a valid driver’s license and personal vehicle. (Truck/SUV preferred.)
  • Must be able to work some weekends and evenings, as applicable

Salary Range: $34,000-36,000/year
