Employee Services Specialist

Staffing and Recruiting
  • Coordinate and manage, with Human Resources, recruitment strategies and tactics to streamline the processes for identifying and selecting new employees that embrace and promote CCM’s vision and values.
  • Coordinate with Human Resources and CCM staff, participation in job and career fairs; coordinate CCM speaking engagements and major recruitment opportunities as appropriate.
  • Develop and manage community outreach initiatives in collaboration with other Mass General Brigham entities and state and national animal research advocacy organizations such as the Massachusetts Society for Medical Research and American Association for Laboratory Animal Science (AALAS).
  • Serve as main hiring manager for the BWH animal program submitting open position requisitions, screening applicants, scheduling interviews.
  • Work with compensation to create equitable and competitive employment offers.
  • Create a comprehensive, equitable, and metric based operations staff scheduling plan for the animal program that ensures continuity of essential operations.
  • Serve as staff liaison for HR services including benefits, coaching, professional development, and leave of absence requests.
  • Serve as liaison between CCM managers and HR generalist for corrective action process. Create and maintain departmental tracking and filing system for corrective action. Adjust department policies as required to address trends in corrective action.
 
Staffing Development, Retention and Engagement
  • Coordinate departmental new employee onboarding and organize hands on training plan with the training manager
  • Identify and support continued staff development and cross training to assure a ready, flexible workforce that meets the research and departmental work demands.
  • Ensure implementation of an employee recognition program that acknowledges and celebrates individual and team success which supports CCM’s vision, mission, and lean management strategy.
  • Coordinate with HR, compliance with BWH annual employee performance review program, including use of 360-degree feedback and ensuring reviews are completed on a timely basis.
  • Implement a career development program/ladder that successfully develops staff at all levels of research animal specialists to team leads to mid-level managers to senior leadership. Utilize Mass General Brigham and outside resources including Operational Development Learning courses, AALAS management certifications, management and executive education courses, and lean operations certifications
  • Oversee information-sharing and feedback initiatives with CCM staff to ensure that employee opinions are solicited, problems are identified, effectively addressed and communicated throughout the department.
  • Implement and maintain department-specific and BWH-wide personnel policies as directed by HR. Ensure new policies are consistent with existing policies at both the department and hospital level. Review policies for revision as needed. Develop and maintain internal website to reflect the most current versions of policies.
  • Perform investigator outreach to improve customer experience and communication between CCM and research staff.
  • Promote a team culture and lead continuous improvement initiatives throughout the department.  
 
Organizational and Financial Management
  • Champion CCM’s values, mission, and strategy of lean operations ensuring that the team-oriented, operational excellence culture is maintained.
  • Provide departmental leadership in planning the effective allocation of personnel including analysis of staffing levels to ensure that programs and services are provided to the levels identified in the budget and strategic plan. Create department-wide staffing utilization guidelines for mid-level and senior-level management to follow that assures high quality and efficiency and controlled costs.
  • Oversees budget and forecasting of staffing expenses.
  • Employ statistical, psychometric, demographic, and other tools to evaluate the effectiveness of recruiting and retention strategies and adjust as necessary.
  • Working with the Business and special services manager assess and create new service options.
  • Assist with management of employee payroll operations.
 
 Qualifications:
  • Bachelor’s degree from an accredited college with focus on HR-related business management (organizational psychology, operational leadership, training, etc.) preferred.
  • MBA or operational lean management certifications preferred
  • Familiarity with animal research environment preferred
  • Minimum of 4 years’ leadership experience
