Advancement Associate at The Family Partnership

JOB SUMMARY: : The Advancement Associate plays a key role in managing and maintaining the Raiser’s Edge donor database, preparing fundraising reports, queries and donor lists to support cultivation of individual, corporate and foundation funders, and ensuring that the agency maximizes the use of the database. The Advancement Associate also is responsible for providing administrative, volunteer management and special event support to The Family Partnership’s Advancement Department. Responsibilities includes processing, reconciling and reporting donation transactions for the organization, gift acknowledgments; volunteer management with key stakeholders; special events support; and collaborating within the Advancement Department and with MACC, TFP’s Executive Team and other agency departments.
 
JOB RESPONSIBILITIES:
A.      Administrative and Event Related Support
·      Assists with a variety of general administrative tasks and activities related to day-to-day operations of the Advancement Department
·      Filter, prioritize and answer requests and inquiries to the Advancement Department, redirecting to other staff and programs when appropriate.
·      Handle all administrative details associated with all department related committee and/or donor meetings (i.e. prepare and distribute notices, agendas, minutes, etc.)
·      Field calls from the communications phone line, on all outward communication materials, and direct calls to appropriate staff or partner agencies.
·      Coordinate planning and logistics for all Advancement Department activities and events.
·      Learn and manage technology for inviting, registering, and stewarding guests for Advancement Department Events.
·      Manage gifts in-kind.
·      Assist in coordinating volunteer opportunities for a variety of programs throughout the organization in coordination with program staff.
 
B.      Database Administrator
·      Serve as Raiser’s Edge database administrator, operating in Raiser’s Edge 7 and Raiser’s Edge NXT.
·      Perform activities to maintain accurate database data and donor information, including donor research and monthly giving reports.
·      Receive and process cash, check, credit card, stock, and in-kind donations.
·      Prepare data reports for presentation and analysis for Advancement Team Leadership and Advancement Board Committee.
·      Prepare mail lists, letters and other solicitation methods for fundraising campaigns.
·      Collaborate with Advancement Department and appropriate MACC staff in gift / grant reporting.
·      Maintain donation processing documentation.
·      Execute The Family Partnership’s Donor Thank You program in a timely fashion, including learning, incorporating, and managing new technologies.
·      Education and assist Executive and Advancement Team in Raiser’s Edge functions as needed.
REQUIRED QUALIFICATIONS:
Education and Experience: Bachelor’s degree in related field and minimum of 1-2 years of experience in nonprofit fund development role (preferred)
Knowledge, Skills and Abilities:
·      High proficiency in Raiser’s Edge (preferred) or similar donor database.
·      High proficiency of Microsoft Excel; general proficiency in Microsoft Office Applications.
·      Strong attention to detail with high degree of accuracy.
·      Effective written and oral communication skills.
·      Excellent planning and time management skills.
·      Strong research skills, including internet use.
·      Ability to build and maintain professional relationships, and strong customer service skills.
·      Ability to handle simultaneous projects and work with minimal supervision.
·      Ability to maintain client confidentiality.
Licenses and Certifications: Valid MN Drivers’ License, access to reliable transportation, and the ability to meet TFP’s driving record requirements.
